We use reasonable administrative, technical and physical safeguards appropriate to the nature of the information we hold.
Access to patient information is limited to team members and service providers who require access to perform their duties or provide services to the clinic.
While we take reasonable precautions to protect information, no electronic transmission or storage system can be guaranteed to be completely secure.
9. OVERSEAS STORAGE AND DISCLOSURE
Overseas Storage and Disclosure
Skindepth Perth uses third-party technology and service providers to assist with functions such as online bookings, communications, data hosting and practice administration.
Our online booking provider, Healthengine, states that personal information is primarily stored on secure servers located in Australia. However, Healthengine may use third-party service providers that store, process or access personal information outside Australia, including in the United States, the Philippines and the European Union. Other overseas locations may also apply depending on the particular services used.
Skindepth Perth may use Heidi Health to assist clinicians with clinical documentation and preparation of consultation notes. Heidi Health states that personal and clinical information relating to Australian users is stored within Australia under its data-localisation arrangements and that patient data is not used to train, develop or improve its AI models. Certain ancillary platform functions may rely on third-party service providers that operate internationally and are subject to contractual data-protection requirements.
At Skindepth Perth we require authorisations and current consents from patients to disclose their personal and sensitive information to Heidi.
Where we disclose personal information to overseas recipients, or use service providers that may process information overseas, we take reasonable steps to ensure that personal information is handled in accordance with applicable Australian privacy requirements.

We may need to verify your identity before providing access.
In some circumstances, access may be limited or refused where permitted or required by law. If we are unable to provide access, we will generally explain the reason where we are legally permitted to do so.
We may charge a reasonable administrative fee where permitted for providing access to records. We will advise you of any applicable fee before processing the request.
11. CORRECTING YOUR INFORMATION
We take reasonable steps to ensure the personal information we hold is accurate, complete, relevant and up to date.
If you believe information we hold about you is inaccurate, incomplete or out of date, please contact us.
Where appropriate, we will take reasonable steps to correct the information.
12. RETENTION AND DESTRUCTION OF RECORDS
We retain personal and health information for as long as required for the purposes for which it was collected and in accordance with applicable legal, professional, clinical, insurance and record-keeping requirements.
When information is no longer required to be retained, we will take reasonable steps to securely destroy or de-identify it where permitted by law.

Where we provide services to children or young people, we take additional care when collecting, using and disclosing their personal and health information.
Depending on the individual's age, maturity, circumstances and the nature of the healthcare being provided, consent and access to information may involve the patient, their parent, guardian or another authorised person in accordance with applicable law and professional obligations.

Skindepth Perth takes suspected privacy and data breaches seriously.
Where a data breach occurs, we will assess and respond to the incident in accordance with our legal obligations, including the Notifiable Data Breaches scheme under the Privacy Act where applicable.
